    We're looking for a dynamic executive assistant with exemplary customer service skills to provide support to the Vice President, Chief Financial Officer & Treasurer, and assist other Finance and Executive leaders as needed. 


    You’ll prepare information and develop reports, presentations, and packets for the Executive Leadership Team (ELT), Board of Directors (BOD) and other special committees and teams.     Description of duties and responsibilities:


    • Prepare and edit correspondence, communications, presentations and other documents
    • File and retrieve documents and reference materials
    • Conduct research, assemble and analyze data to prepare reports, graphs, power point presentations, etc for ELT, BOD, Audit Committee meetings, Investor Relations, acquisitions and divestitures, etc.
    • Design and maintain databases
    • Manage office supplies budget, ordering and invoicing
    • Manage and maintain executive schedules, appointments and travel arrangements for VP CFO & Treasurer and Finance staff, reconcile and submit travel and entertainment expense reports
    • Arrange and coordinate meetings and event
    • Maintain and support budgets for VP CFO & Treasurer and Finance staff as needed
    • Serve as Administrator of Charitable Trust, filtering requests and maintaining records of donations
    • Record, transcribe and distribute minutes of meetings
    • Monitor, respond to and distribute incoming communications
    • Answer and manage incoming calls
    • Receive and interact with incoming visitors
    • Liaise with internal staff at all levels
    • Interact with external clients
    • Co-ordinate project-based work
    • Review operating practices and implement improvements where necessary
    • Provide proactive team support / backup to colleagues in the Executive Administration and Finance staff


    Special knowledge, skills and abilities required:

    • Excellent communication skills – verbal and written - with ability to adjust message to fit audience, and excellent command of English language and proper grammar
    • Proven ability to build strong relationships with employees and managers
    • Demonstrated ability to maintain confidentiality
    • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite including excel, word, and power point
    • Experience managing calendars, travel arrangements
    • Strong organizational and planning skills
    • Strong analytical and problem solving skills
    • Proven ability to proficiently and accurately perform tasks in a fast-paced, high-energy environment
    • Demonstrated ability to gather and monitor information to determine necessary action/communication exercising sound  judgment and decision-making

    Education and experience required:

    • Associate's Degree in Business or a related field or
    • High School diploma and 10 years of administrative experience


    • Bachelor's Degree in Business or a related field.
    • 3-5 years of experience in an Executive Administrative Setting for a Global Company, including preparing documents, reports, and presentations for BOD
    • Knowledge of Financial functions, regulations, processes, policies and guidelines
